Partner Privacy Policy

This policy explains how Glossy Finish handles information about tournament directors, event organizers, venue representatives, and business partners ("partners"). It covers the partner inquiry form on this website, our business calls and meetings, our email with partners, and the Tournament Partner SMS Program.
It does not cover families and athletes who buy photography from us. Their information is covered by the Glossy Finish Privacy Policy and Terms of Use.
Information we collect
We collect the following information about partners:
- Business contact information: your name, organization, and role.
- Mobile phone numbers.
- Email addresses.
- Event and tournament information, such as event names, dates, locations, sports, age groups, and expected team and player counts.
- SMS consent records: whether you agreed to receive text messages, when and how you agreed, the disclosure you were shown or read, and who recorded it.
- The content of the text messages and emails we exchange with you.
How we collect it
You give us this information when you submit the partner inquiry form, talk with our staff by phone or in person, or write to us by email.
How we use it
We use partner information for the following purposes:
- To respond to partnership inquiries.
- To coordinate event dates, attendance, photography coverage, venue planning, and logistics.
- To schedule meetings and calls.
- To follow up about existing partnerships.
- To send text messages to partners who have agreed to receive them, and to honor opt-out requests.
- To keep records that show consent was given or withdrawn.
SMS privacy
Glossy Finish does not sell or share mobile phone numbers, SMS opt-in information, or messaging consent with third parties or affiliates for their marketing or promotional purposes. Service providers may process this information solely to provide communication services on our behalf.

Service providers
We use the following service providers to run our partner communications. Each one processes partner information only to provide its service to us:
- Twilio, which sends and receives our text messages.
- 3CX, our business phone and messaging system.
- Cognito Forms, which hosts the partner inquiry form on this website.
We may also disclose information when the law requires it, or to protect our rights or the safety of others.
Data retention
We keep partner contact information for as long as the business relationship lasts, and afterward as long as we need it for legal and compliance purposes. That includes keeping records of SMS consent and opt-outs, so that we can show when you agreed to receive messages and make sure we stop texting you after you opt out.
Security
We limit access to partner information to the staff who need it to work with you. The partner inquiry form and this website use encrypted (HTTPS) connections. No method of storing or sending information is completely secure, so we can't guarantee absolute security.
Your choices
- To stop receiving text messages, reply STOP to any message from us.
- To update or correct your information, or to ask us to delete it, contact us using the details below. We may keep a record of your opt-out so that we don't text you again.
Changes to this policy
When we change this policy, we update the effective date at the top of this page.
